An Excel sheet for your Amazon profit: the columns, the formulas, and where it goes wrong

A profit sheet needs, for each product: the sale price, its category's referral rate and minimum, the fulfilment fee for its size and weight, the 14% VAT on those fees, and your costs. Profit per unit is the price minus all of that. That's enough to price a product before you sell it; what happened in your month shows in your Date Range report, because returns and fees outside the price list only appear there.

The sheet, column by column

One row per product, with these columns:

  • A · Product: the product's name or SKU.
  • B · Sale price: your price on Amazon, including VAT.
  • C · Referral rate: from the referral fee table, by the product's category.
  • D · Referral fee: the rate times the price, or the minimum (E£5 in most categories), whichever is higher.
  • E · Fulfilment fee: from the FBA fee table by size, weight and price, or from the Easy Ship table.
  • F · VAT on the fees: 14% of the referral and fulfilment fees.
  • G · What Amazon pays you: the price minus the fees and their VAT.
  • H · Product cost: from your supplier's invoice, per unit.
  • I · Shipping to Amazon's warehouse: your freight bill divided by the number of units.
  • J · Profit per unit: what Amazon pays you minus your costs.
  • K · Profit margin: profit divided by price.

The formulas, with a worked example

A product in Kitchen priced at E£400, a Standard Parcel weighing 1 kg, Fulfilled by Amazon, costing E£180, with E£10 per unit to ship it to Amazon's warehouse. Its row in the sheet:

When you build the sheet:

  • Categories with tiers need a longer formula in D. For Electronics Accessories: =MAX(MIN(B2,1000)*15%+MAX(B2-1000,0)*8%,5)
  • If the customer pays shipping with Easy Ship or self-ship, add it to B before working out the referral fee: the fee is charged on the price including shipping.
  • If a formula shows an error, try semicolons ; instead of commas. It depends on your computer's regional settings.

Where does the sheet go wrong?

A sheet assumes every unit sold and was paid for in full. The month as Amazon records it has things the sheet can't see:

  • Returns: when a customer is refunded, the sale is taken back from your payout; Amazon returns the referral fee minus an administration fee it keeps, and the fulfilment fee may not come back. What does a return cost you?
  • Refunds from earlier months: a refund this month can be for a sale in an earlier month, so it comes out of a month in which that unit didn't sell.
  • Fees outside the price list: the cash-on-delivery collection fee, ads, and storage charged the following month.
  • Fees change: Amazon changes its fees from time to time, and a sheet keeps whatever number you typed into it. Our fee table shows when we last checked.
  • VAT on the fees: column F is easy to forget, and it's 14% on top of every fee.
  • The report's fees include VAT: so the fees in your report only match your sheet after adding 14%.

The sheet is for pricing; the report shows what happened

A sheet answers a question before you sell: at what price does this product make money? What happened in your month shows in your Date Range report: every sale, refund and fee as Amazon recorded it, reconciled to your payout.

Common questions

Is there a ready-made Excel sheet for Amazon profit?

We don't offer a file to download for now. The columns and formulas on this page are enough to build one yourself, and the calculator works out the same numbers for one product straight away, at Amazon's published rates.

Why does my sheet show more profit than I receive?

Because a sheet can't see returns, what Amazon keeps when it refunds a customer, fees that aren't in the price list such as the cash-on-delivery collection fee and ads, or storage charged the following month. Your Date Range report shows all of them.

Should margin be worked out on the price or on the cost?

Profit margin is worked out on the sale price: profit ÷ price. Profit ÷ cost is markup, which usually gives a bigger number for the same product, so don't mix the two.

Does the sheet handle VAT?

Column F works out the 14% VAT on Amazon's fees. If you're VAT-registered, part of your sale price is VAT you owe; the calculator shows that case.
